Changing accounting systems – plan the handover and reconciliations
Practical questions to address before moving bookkeeping and finance workflows to a different system.
Start with a defined business need
Describe what is not working: records, invoices, bank matching, reporting or manual tasks. Prioritise improvements to the finance workflow rather than starting with a long list of features.
Define scope and responsibilities
List the entities, periods, registers and records included. Assign responsibilities to the business, accounting consultant and software provider. Do not assume all historical information is carried in the same import file.
Plan reconciliations before and after
Document balances, open invoices and known differences before migration. Compare the same dates and selections after importing. A technically completed migration is not itself an accounting reconciliation.
Arrange access and documentation
Plan access to historical records, permissions and documentation. BFN guidance provides a starting point for accounting considerations; the provider’s documentation describes the technical migration.
Follow up the first reporting period
Test invoices, bank transactions, reports and responsibilities before ending the previous routines. Stämkoll’s support focuses on accounting systems and bookkeeping, not general IT operations.
